OFFICE PROFILE:

The Admissions Office is responsible for the ongoing program of student recruitment and admission.

 

ROLE:

The Admissions Events Assistant's role is to support the Undergraduate Admissions Events Manager with the coordination and implementation of recruitment events for undergraduate programs, on and off campus, as well as all assigned events for the Office of Admissions.   All activities of this position are to make a contribution to the fulfillment of the mission of the university. This is a 20 hour per week position. 

 

APPOINTMENT:

  • Recommended by the Senior Associate Director of Undergraduate Admissions and the Director of Undergraduate Admissions in consultation with the Executive Vice President/Chief Enrollment Officer
  • Approved by the Executive Vice President for Administration/CFO.

 

STAFF RELATIONSHIPS:

  • Reports directly to the Undergraduate Admissions Events Manager and overall to the Senior Associate Director of Admissions and the Director of Undergraduate Admissions
  • Assists the Admissions Events Manager during meetings with Deans, Faculty, Staff and students
  • Assists in the management of Admissions Office and Tour Ambassadors during events

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

To perform this job successfully, an individual must be able to accomplish each of the below duties satisfactorily:

  1. Assist the Undergraduate Admissions Events Manager with the coordination, execution and implementation of all recruitment and special events for Office of Undergraduate Admissions
  2. Assist in the planning of Out-of-State Receptions including coordination and logistics, marketing, promotion, execution and all travel arrangements associated with each reception
  3. Assist the Undergraduate Admissions Events Manager with the maintaining of operating budgets for each event based on detailed forecasts and assists in managing all events to operate effectively within each operating budget
  4. Assist as liaison between the Office of Admissions, deans, departmental faculty, staff and students responsible for the implementation of successful recruitment events
  5. Assist as a liaison between Bon Apptit, the university official catering services and all off-campus food & beverage vendors
  6. Work closely with contracted graphic designers and printing & distribution associates in creating and designing promotional items for all events
  7. Assist in providing content, overall layout and design of all event programs, nametags, signage and all other printed items for each event
  8. Assist with providing content and maintain university event websites' information and guest reservation programs as well as providing information for social media platforms
  9. Assist with written communication including emails, letters, reservation forms and all recruitment event publications
  10. Act as a lead supervisor for all Admissions Ambassadors during all special events
  11. Other duties may be assigned over time

 

EDUCATION AND/OR EXPERIENCE: 

  • BA degree required
  • Demonstrated excellent written and oral communication skills
  • At least 3-5 years of experience or knowledge in the field of event planning, public relations, marketing and admissions is highly recommended

  • Competent and comfortable with Banner, TargetX, 25Live, Word, PowerPoint and Excel
  • Competent with desktop publishing and graphic design programs and software (i.e. Microsoft Publisher, Adobe Photoshop, etc.)
  • Competent with event management systems for the overall management of all events needs.
  • Be willing to travel
